Job Title: Payroll Specialist

The Payroll Specialist ensures accurate, timely payroll processing for a fast-paced home services organization. This role supports field and office teams by managing hourly, commission, and incentive-based pay structures, maintaining compliance with federal and state regulations, and delivering a smooth payroll experience for technicians and staff.
Responsibilities

Process weekly or biweekly payroll for field technicians and office employees, including hourly wages, overtime, commissions, bonuses, spiffs, and on-call pay.

Review and validate timesheets from dispatching or scheduling systems to ensure accuracy of hours, job codes, and pay differentials.

Reconcile payroll data across systems such as time-tracking, CRM/dispatch software, and accounting platforms.

Maintain employee payroll records including new hires, terminations, pay rate changes, deductions, and garnishments.

Ensure compliance with federal, state, and local wage and hour laws, including overtime, meal/rest rules, and prevailing wage requirements when applicable.

Coordinate benefits deductions such as health insurance, retirement plans, and voluntary benefits.

Respond to employee payroll questions with professionalism and clarity.

Prepare payroll reports for leadership, including labor cost summaries, overtime trends, and job-costing data.

Support audits by providing payroll documentation and ensuring accurate recordkeeping.

Collaborate with HR and operations to improve payroll processes and resolve discrepancies quickly.

Qualifications
-
3-5+ year’s experience processing payroll in a high-volume environment, ideally in home services, construction, or other similar skilled trades.

Strong understanding of wage and hour laws, overtime rules, and payroll compliance.

Familiarity with payroll systems (ADP, Paychex, Paylocity, QuickBooks, or similar).

Experience working with dispatch or field-service management software (ServiceTitan, Housecall Pro, FieldEdge, etc.) is a plus.

High attention to detail and ability to manage deadlines.

Strong communication and problem-solving skills.

Ability to handle confidential information with discretion.
